Give every planner the same brief
Use the same dates, traveller count, room requirements and route when asking for quotes. Otherwise you may be comparing different holidays.
Mention your must-have experiences, preferred pace and budget range. Keep a copy of the brief and use it when checking each proposal.
Compare the arrangements line by line
Create a short comparison with hotel and room categories, meals, transport, activities and exclusions. Mark anything unclear for follow-up.
Look at the actual itinerary alongside the inclusion list. If an activity appears on a day plan, confirm whether its ticket and transport are included.
- Hotel and exact room category
- Private or shared transfers
- Included meals and activities
- Full group total and price conditions
- Payment and cancellation terms
Compare the full group total in INR
A quote for travellers leaving India should state the departure airport, international flight route, any domestic flights and baggage allowance. Ask whether tickets are included, optional or still being priced. If flights are excluded, compare the holiday arrangements separately and add flight costs consistently to both proposals.
Confirm the number of adults and children, room-sharing basis and any single-room supplement. A starting rate based on six adults is not directly comparable with a quote for two people. Ask for the full group total in INR, with applicable taxes and any charges payable separately clearly shown.
For a Vietnam route, check every change of base. A sightseeing list that mentions Hanoi, Da Nang and Ho Chi Minh City does not by itself confirm that flights between those cities are included. The written quote should explain how you move between hotels and airports.
- Departure airport, flight dates and connection times
- International and domestic flight inclusions
- Baggage allowance and transfer type
- Group size, room-sharing and child pricing
- Total in INR, exclusions and quote expiry
Separate a quote from a confirmed booking
Ask whether arrangements have been confirmed or are still subject to availability. Check how changes will be handled if a proposed hotel or experience cannot be booked.
Keep the final accepted itinerary, total and terms together. This gives you a clear record of what you agreed to purchase.
Understand how to get help during the trip
Ask who your point of contact will be and how to reach them during travel. Confirm support hours and any escalation process.
A useful quote should help you understand the holiday and make a decision. If something is unclear, ask for a specific answer before paying.
